Set up your team's Media Centre
Start a team guide 5 of 6 Next: Plan a campaign (your race weekend)
The Media Centre is where your team writes down, once, how it wants to be talked about: its brand (logos, colours, fonts and voice), its sponsors and their rules, a media kit for press and sponsors, and the message house (what to say, and when). Members read it in their member view, and when they ask their AI to write a post, the AI reads it too. Set it up by hand here, or let your AI draft it for you to approve.
Before you start
- You're the team's owner or an active admin, on the Team plan.
- Your logo files, your colours, and your sponsors' websites and social accounts.
The steps
Open Media and start with Brand
In Team HQ, open Media, then Brand. The strip at the top counts seven parts: Logos, Colours, Type, Voice, Hashtags, Themes and Sponsor rules, ticking each one off as you fill it in. Logos save as you upload them; everything else saves when you press Save.
Brand: seven parts, three of them done, and the Voice section open. Write the team's voice
Under Voice, put the words to use and the words to avoid, how you feel about emoji, and how to name the team. This is what keeps forty people's posts sounding like one team. Then add the team's hashtags.
Turn your brand into a theme
Under Themes, make a theme from your brand's colours and apply it to the team's page. You can offer the team's themes to members too; they appear in members' theme pickers marked Team, and each member can still keep their own look.
Add your sponsors
Open Sponsors and add each one: its name and how to write it, its websites, the dates the deal is active, and whether it's a paid partnership (posts then need an "Ad" label). Under Where and how to post, add a row per platform with the sponsor's handle, hashtags and notes, and any embargo. Members see only the sponsors that apply to them, and only while they're active.
A team sponsor: name, how to write it, website, active dates and Paid partnership, then a row for Instagram. Fill in the media kit
Open Media kit for who the team is: the story, the press contact, and the members you want in it, each with a role. Each member, or an under-18's parent, agrees before they're shown. The kit is public only if you turn it on, at exclusively.me/ and your team's address, then /media. Your brand rules and voice are never public.
Members can download the brand
Members find it all in their member view: Brand Guide with a brand pack to download and a printable brand guide, and Sponsors with each sponsor's rules. Nothing to send round by email.
Check it worked
Overview's Team setup card ticks off Brand, Sponsors and Media kit roles. Open a member's view (their ⋮ menu, then Message House) to see what they're told.
If something's different
A sponsor isn't showing to members
Check its Active dates include today, and Who it's for, if you've limited it to some groups.
Members say they can't see the Brand Guide
The member view opens for members with a seat or their own Pro. Check their status in Members.
Do I have to write the message house now?
Not to start. The base house is what applies to every member, always; campaigns come later. See Plan a campaign.
Do it with your AI
In Claude, pick Set up the team's Media Centre from the exclusively.me prompts, or ask your AI "Set up our team's Media Centre from our website and Instagram". It reads them and proposes the brand, the always-on message house and the sponsors in one go, for you to preview and approve. See Set up your team's Media Centre with your AI.
Why it's worth it
Write it down once, and every member's posts, and every member's AI, follow it: the right sponsor name, the right hashtags, the Ad label where it's needed. Sponsors notice when a whole squad gets their name right.
